Microsoft 365 Copilot rollout and Copilot Studio agents

Microsoft Copilot consulting is the work of turning Copilot licenses into measurable usage. RootedAI covers two things specifically: a Microsoft 365 Copilot rollout (permissions and data-governance review, phased adoption planning, workflow redesign, and hands-on training) and custom Copilot Studio agents where the default assistant does not reach far enough. A typical setup runs $1,500 to $5,000 and completes in one to three weeks.

The permissions problem nobody plans for

Copilot answers from what a user can already open. In most tenants that is far more than anyone realizes: legacy SharePoint sites with broad access, over-shared drives, and mailboxes nobody has audited in years. Deployed without a permissions review, Copilot does not create a leak so much as make an existing one trivially easy to find.

So the first phase is unglamorous: sharing and access review, sensitivity labelling where it is warranted, retention and data-residency posture, and a defensible position on what Copilot can and cannot reach.

    What the engagement covers

    • Copilot readiness review: licensing, tenant configuration, permissions, and data governance
    • Phased rollout planning, starting with the roles where the return is clearest
    • Adoption and training for leadership and for the teams using it daily
    • Workflow redesign, so Copilot replaces steps rather than sitting alongside them
    • Custom agents and extensions built with Copilot Studio
    • Automation beyond what Copilot reaches, engineered and delivered by our own team
    • Integration with Teams, SharePoint, Outlook, and the rest of Microsoft 365
    • Usage measurement, so renewal is a decision based on evidence

When Copilot is the right answer, and when it is not

Copilot is strong at drafting, summarising, and searching across content a user already has rights to, inside tools those people already live in. That is a genuine advantage and it makes adoption far easier than a separate application.

It is weaker where a process needs deterministic behaviour, external system integration, or an audit trail. Those cases are better served by a purpose-built agent or ordinary automation, and we will tell you which category your workflow falls into before you buy more licenses.

    Vendor-neutral, on purpose

RootedAI does not resell Microsoft licensing and earns nothing from seat count. That matters here more than in most engagements, because the honest recommendation is frequently to license fewer people initially and expand once usage is proven in the roles that benefit most.

    A good fit when

    • Organizations that bought Microsoft 365 Copilot licenses and are seeing low usage
    • IT and security leaders who need a permissions position before enabling Copilot broadly
    • Teams that want custom agents in Copilot Studio rather than the default experience
    • Companies standardized on Microsoft 365 that want agents living inside Teams, SharePoint, and Outlook

    Probably not a fit when

    • Organizations looking to purchase licensing through a reseller
    • Workflows needing deterministic, audited execution, which suit a purpose-built system better

    Common questions

What does Microsoft Copilot consulting include?
A readiness review of licensing, tenant configuration, permissions and data governance; a phased rollout plan; adoption and training built on your workflows; custom agents in Copilot Studio where needed; and usage measurement so the renewal decision rests on evidence.
Why is our Copilot rollout not being used?
Usually because nothing about the work changed. Licenses were issued, no workflow was redesigned, no one defined what good use looks like, and staff defaulted to habit. Adoption recovers when Copilot replaces specific steps in a specific process rather than being offered as a general tool.
Is Copilot safe to enable across our tenant?
Only after a permissions review. Copilot surfaces content the user already has access to, so any over-sharing in SharePoint, OneDrive, or Teams becomes far easier to discover. The governance review comes before broad enablement, not after.
Can you build custom agents with Copilot Studio?
Yes. Copilot Studio agent development is a core part of this service. Where the default assistant does not reach far enough, we build custom agents, topics, and connectors in Copilot Studio, grounded in your own content and surfaced inside Teams, SharePoint, and Outlook.
Do you do Power Platform or Power Apps development?
Our Microsoft scope is deliberately narrow: Microsoft 365 Copilot rollout and Copilot Studio agents. We are not a Power Apps or Power Automate development shop. When a workflow needs automation past what Copilot covers, we build it as custom software and integrate it with your Microsoft 365 tenant.
How much does a Microsoft 365 Copilot setup cost?
A Copilot setup runs $1,500 to $5,000 and typically completes in one to three weeks, covering configuration, readiness, governance and security considerations, adoption, workflow setup, and team enablement. Larger environments and custom Copilot Studio agents are scoped separately. Full ranges are published at rootedai.tech/insights/ai-consulting-cost.
    Are you a Microsoft reseller?
No. RootedAI does not resell licensing and earns nothing from seat count, so recommendations on how many licenses to deploy and when are made on fit alone.
